The Town of Hay River regularly hosts government meetings, conferences, events, and trade shows. The Hub of the North has also held large-scale events, including the recent 2018 Arctic Winter Games, which brought more than 2,000 athletes, officials, media, and volunteers to Hay River and Fort Smith for a week of cultural activities and athletic competition.
Hay River can comfortably accommodate small and large conferences, using our main conference facilities in the brand-new Hay River Community Centre, located in the heart of downtown. This modern, multi-use complex opened in 2018 and boasts four different meeting rooms with more than 8,800 square-feet combined, ideal for public information sessions, AGMs, awards banquets, community workshops and more. Meeting space is also available at the nearby Ptarmigan Inn, Caribou Centre, Soaring Eagle Friendship Centre, Royal Canadian Legion, and the Fisherman’s Wharf Pavilion (summer).
Professional and attentive town staff can help plan your event. Contact them to assist with hotel and facility bookings, corporate rates for travel, itinerary planning for attendees, as well as any technical support or requirements you need for events held in municipal buildings. Hay River staff can also provide integrated audio/visual systems, projectors, recording equipment and WIFI. Rooms can be set up to the needs of the event, with a variety of tables and chairs available, as well as conference equipment such as flip charts, stages, lecterns, dance floor and even a mobile bar. On-site catering services are available through Sub on the Hub, D&A Foods, The Legion, Soaring Eagle Friendship Centre, the Ptarmigan Inn, which has a full service kitchen.

As the Hub of the North, Hay River is easy to get to from the air and by road. Direct scheduled air travel is provided from Yellowknife, Fort Smith and Edmonton through Canadian North and Air Tindi. Several charter options out of Hay River and Yellowknife are available (Air Tindi, Summit Air, Buffalo Airways, Northwestern Air Lease, Landa Aviation). Event rates can be negotiated with air travel providers.
